Trekk System is an internal-use tool. It is not aimed at the general public or at minors: it is used only by employees, supervisors and customer accounts authorized by the company that contracts the service, and by people at a company who request a trial demo from the sign-in screen (see section 2.2). If you have not been assigned an account and do not want to request a demo, this app does not apply to you.

1. Data controller

Trekk System, with the system hosted at app.trekksystem.com, is responsible for processing the personal data collected through the Trekk System app (package com.nbkquetzal.asistencia), on behalf of the company that employs you or for which you work.

2. What data the app collects

Depending on your role (Worker, Substitute, Supervisor or Customer), the app may collect:

Account data: username and password assigned by your company (you do not sign up yourself).
GPS location: captured when you clock in, take a break or clock out, to confirm you are inside the work site (geofence). If you are a Supervisor, see also section 2.1.
Photos: a selfie when you clock in or out, and photos you take as evidence of activities, incidents or supervision reports.
Device identifiers: a technical identifier and the push notification token (Firebase), used only to send you notices inside the app.
Administrative data already in your company’s system: name, position, schedule and assigned site. Your company enters it and the app only displays it.

2.1 On-demand location (Supervisor accounts only)

If you are a Supervisor, the app asks for the “Allow all the time” location permission. It is used only so that an administrator at your company can request your location at a single moment if they cannot reach you by phone, for example in an emergency. It is not continuous tracking: your location is queried only when someone explicitly requests it from the system, never automatically or periodically, and you always receive a notice on your phone when it happens. You can deny or revoke this permission at any time in your phone settings; the app keeps working for everything else.

2.2 Trial demo request (from the sign-in screen)

If you use the “Request demo” button, we ask for: type of operation, name, company, email address, phone (optional), approximate number of employees and the Android device identifier (the latter only to limit abuse, such as repeated requests). We email you a 6-digit code to confirm the address is yours; the code is stored hashed and expires within minutes. Once confirmed we create a trial account with PPanel web access for 15 days and notify our sales team to follow up. In this case Trekk System is the data controller. When the trial ends the account is suspended and, unless you subscribe or ask us to delete it sooner, its data is kept for up to 30 more days so you can resume, and then deleted. To request early deletion write to contacto@trekksystem.com. You must accept this notice to submit the request.

3. What we use the data for

Record your attendance (clock in, break, clock out) with time and location.
Keep the log of activities and evidence for your shift.
Let your supervisor and, where applicable, the customer of the site where you work follow up on the service.
Manage requests, incidents and notifications related to your work.
Meet the labor and operational control obligations of the company that employs you.
Verify your email, create your trial account, send you trial notices (activation, expiry reminder) and follow up commercially if you requested a demo. We do not use this data for third-party advertising.

4. Who the data is shared with

Your data is not sold or shared with third parties for advertising. We use infrastructure providers (hosting, email delivery and Firebase push notifications) strictly to operate the service. In normal operation of the app, your information is visible only to:

Your direct supervisor and the authorized administrative staff of your company.
The customer account of the site where you work, which sees your name, schedule, clock-ins and clock-outs and activity evidence, but not your exact GPS location or personal contact details.

5. Where it is stored and for how long

Data is stored on Trekk System servers (app.trekksystem.com) for as long as your employment with the company lasts and any additional time required by applicable law for labor and tax purposes.

6. Your rights

You may request access to, correction of or deletion of your personal data from your company (Human Resources or your supervisor) or by writing to contacto@trekksystem.com.

7. Security

Communication between the app and the server is encrypted (HTTPS) and access to each account requires a username and password. Only authorized staff of your company and of Trekk System can view your information.
