How to track your employees’ attendance with a phone, step by step
Learn to control attendance from a phone: what you need, how each check-in is recorded and how to prevent fraud with GPS and photo.
Tracking attendance with a phone has gone from a promise to the most practical way to do it, especially if you have several sites or field staff. This guide explains how it works, what you need and what to watch so the record is reliable.
What you need to get started
- An attendance system with an app. Each employee clocks in from an app installed on their phone, tied to an account their company gives them.
- Phones with GPS and a camera. Almost any current Android has both; you do not need to buy devices.
- Your staff data. Names, posts, schedules and where each person works.
How attendance is recorded, step by step
- You add your staff with their post and schedule, one by one or by uploading a list from Excel.
- Each person installs the app and signs in with their username.
- On arrival, they clock in with one tap. The app stores the time, the GPS location and, if you enable it, a selfie as evidence.
- During the workday they can record their break, their activities and any incident.
- On leaving, they clock out the same way.
- You see everything on the web, in real time: who arrived, who is late and who is absent.
How to prevent fraud
The main problem with a time clock is that someone punches in for someone else. With the phone you reduce it like this:
- Location on every clock-in, to know it was recorded at the workplace.
- Photo evidence that ties the record to the person.
- A personal account, with no cards or fingerprints that can be lent.
- History that cannot be erased without leaving a trace.
What if there is no internet?
In places with poor signal, a good app saves the record on the phone and sends it automatically when the connection returns. No clock-in is lost.
What to check before choosing a system
- It records location and photo, and you decide whether to require them.
- It works without signal and syncs later.
- It handles leave, vacations and incidents, not just check-ins and check-outs.
- It gives reports by person, post and site.
- It has a clear privacy policy for your employees.
With Mexico’s labor reform, keeping an electronic record of working hours is no longer optional for companies. PPanel covers these points: phone-based recording with location and photo, offline operation and a real-time web panel. Request a demo and we will go through it with your staff.
